Who doesn’t want to be Rich, Happy & Hot?! (…or, “handsome” for us guys!)

There’s one Female Marketer who embodies exactly what she teaches…and she does it through VIDEO. The following thorough & detailed article will show you exactly how one woman is using YouTube & Video the right way (her own way!) to achieve extraordinary results!

I first heard the name “Marie Forleo” about one year ago. A past client of mine asked me if I had seen any of Marie’s videos. She later admitted that this “Female Marketer” is the only person whose videos she waits for every week and watches from start to finish with full attention! Now, that kind of loyalty and engagement gets my attention, so I had to investigate…

Over on Marie TV (www.YouTube.com/marieforleo), I discovered a series of engaging, fun and light-hearted videos featured Marie as she answered the burning questions of her female audience. Marie is an author, coach, and mentor to a large group (and growing!) of motivated and empowered female entrepreneurs who are eager to spread their message out to the World. Marie is making a difference by empowering others to do the same.

The Results of One Year of YouTube

When I first stumbled upon Marie’s channel, I noticed each video had between 2-3,000 views. Not much for all the work, right? Well, I ended up meeting up with Marie in New York City just six months later. She asked for some “YouTube Advice,” and I gave her some…but she really only needed one tip, which I made sure she heard loud and clear:

“Just keep going! Keep posting your videos consistently.
You are gaining momentum, just keep going!”

One month later, one of Marie’s videos was featured on the home page of YouTube and she received +120,000 views in just one day!

Needless to say, Marie DID keep going, and today (at the time of this writing), Marie is just a few thousands views shy of hitting the One Million Views mark!

What’s the Point, James?

Today, Marie has become a great friend (and NYC Neighbor!). Her message, strategies and energy is absolutely incredible. I have become close friends with several of her female students and have seen the growth and impact she has directly had on them. This post is an analysis of the past year of Marie’s Video Marketing efforts. Below, I have reversed-engineered her strategies, principles and effective habits for massive growth and real results using YouTube and video.

…in the last Private Mastermind I attended, Marie got up and spoke and began her presentation with, “My goal is to consistently release the best f*%king videos for our students and subscribers in the entire industry!”

I feel Marie has accomplished this goal. Now let’s see how exactly she has done that…

Marie’s YouTube Success Principle #1: Begin with the End in Mind

In Steven Covey’s classic 7 Habits of Highly Successful People, he clearly lays out the importance of Success Habit #2: Begin with the End in Mind. When you have a Big Vision like Marie does, you have to be able to use binoculars to see it out there in the distance. Marie was looking for a way to connect with a larger audience in a more engaging way on the net. She can’t be doing live events every week, and everyone emails their list to death. YouTube provides the perfect platform for fostering a loyal community of supporters and fans.

But the results you want with YouTube don’t always come overnight. Even though Marie’s first few videos still got more views that most others, she knew it would take time. She had to stay motivated by keeping her vision clearl and focused. And even if she had an audience of two, her message, energy and enthusiasm would still be the same.

As you start (or re-think) your YouTube Strategy, look first at the Big Picture. What are you trying to accomplish with your videos? What is the ultimate goal? What feeling, emotion and opinion do you want your viewers to have of you as they watch your content? Be prepared to map out your Vsion and your strategy for YouTube Domination now, and put in the time and effort that it takes to bring it to fruition.

Marie’s YouTube Success Principle #2: The Tortoise Always Beats the Hare

Yes, in the old fable, the Tortoise did beat the Hare..but it’s nice to be the fastest tortoise out there! The Tortoise is Focused and Consistent. For over one full year, Marie has consistently uploaded a new, high-quality and engaging video for her audience each and every week! She has remained focused and consistent…like our friendly Tortoise. But she sure as hell wasn’t slow! I caught up with Marie a few months back, and she revealed a few of her insider secrets on super-fast action-taking implementation!

First, Marie plans. Before she steps into the studio, she knows exactly what she is going to talk about and address. (Note: For her “Q&A Tuesday” Sessions, content creation is easy! She just answers her students & subscribers questions!)

Second, Marie hired help! Yes, Marie is a superstar and has the luxury to attract New York’s finest Film Crew, but anyone at any level (and budget) can benefit significantly when you recruit the help of friends, family or business partners to support and collaborate with your video creation efforts. If you have to worry about lighting, backgrounds, charging the camera, etc WHILE you are preparing to be a Super Star, it’s not going to be a pleasant experience for you.

Third, and this is the best part, Marie films a block of ten videos all at once! Making videos is like working out, the longer you do it, the more warmed up you feel. You get into a rhythm. You mess up less. You improve your communication. You drop the “um’s” & “ah’s.” And then, after two to three hours of filming, you have the next 10 weeks worth of content, not bad eh? By the way, this is the way I create my videos, several of the major YouTube Players, AND plenty of TV shows…think about it.

At the end of the day, video IS more work than sending out a tweat or a Facebook update about your latest experience at Whole Foods. Your job as a Savvy Marketer is to recruit and enlist the help of others while honing this video creation process into an efficient machine. Yes, be the tortoise. Be slow to jump from distraction to distraction. Stay steady and focused on the prize. And make a direct B-Line for your end goal. Be consistent, patient and relentless.

Marie’s Youtube Success Principle #3: Ask And it is Given!

“But James, I don’t know what to do videos on! I don’t know what type of content to create!” (Insert a baby’s cry here). Marie has done an excellent job of listening to her audience and delivering incredible VALUE through her videos and her message. She did nothing innovative or new…in fact, it’s kind of the oldest trick in the book: Frequently Asked Questions (sounds kinda boring, right?). Marie put a spin on the old “Ask the Expert” slash FAQ model, and created “Q & A Tuesday” a weekly series where she answers the REAL questions and problems that her subscribers are having! This does a few magical things…

First, Marie creates Trust and Rapport through Social Proof. When Marie answers the questions of real students in her videos, others instantly look at her as The Authority in the marketplace!

Secondly, Value is easily delivered. When Marie knows exactly what her audience wants and simply delivers it via video, her audience is happy. She provides incredible value to the marketplace by answering those plaguing questions, and her audience simply wants more.

And finally, Marie creates a Community. The big secret that no one is telling you, is that the most successful leaders and influencers today are those who have the ability to foster a community. The authority has a vision, a belief, value, and others magnetically rally to their side for support, encouragement and growth. Just watching one of Marie’s videos, and you feel apart of her movement to empower women!

Too often we get attached on what we think the marketplace needs. We share our tips and our secrets, but we fail to make the connection with our audience. “What the heck does this have to do with me, with my problems, with my situation?” As Marie preaches, “Sell them what they WANT, and teach them what they NEED!” Listen to the questions of your audience (no matter how ridiculous they may seem tho you), and deliver the answers!” However, simply answering questions in video form will not yield Marie-Worthy results, you are still missing one key ingredient…

Marie’s YouTube Success Principle #4: From Great to Outstanding

Tony Robbins shares with us that if you want “Excellent Results,” you must be willing to go beyond “excellent” and become “OUTSTANDING.”

Anyone can answer frequently asked questions in a video. Anyone can give the “secrets of making millions,” the magic is in HOW you deliver that message. This “How,” is the magic X-Factor that Marie possesses. And it is probably the hardest to teach. Just watch one of Marie’s videos and you’ll know what I mean.

How can you be REMARKABLE?

Here is a quick little hint on how you can become “more awesomer” in your videos. Put yourself in the shoes of those around you. Look at your friends, family, the ones who love you. What is it that they like about you? Are you caring, entertaining, funny, loud?! Take that “essence of you” and crank it up! Crank it up as much as you can and hit record! The camera has this “energy filter” that takes away a bit of that essence. You have to be prepared to give more, and be more on the camera so you become engaging, entertaining and enjoyable to watch!

Marie delivers incredible value. But she has delivered in a way that is outstanding. She truly is REMARKABLE on camera. How can you be remarkable?!

Marie’s YouTube Success Principle #5: Always be Marketing

A.B.M.! Always Be Marketing! I learned this a long time ago, and Marie not only exemplifying it in her business, but she teaches it as well. All over Facebook, you’ll see pictures of women holding a white coffee mug that says “I freakin’ Love Marketing!” It’s a part of Marie’s initiative to teach women “Non-Douchy” marketing that works. She explains to her female audience that “sales and marketing” doesn’t have to be slimy or icky. In fact, if you are not a better marketer, if you can’t communicate your message better, your competitor is going to get the customer, not you. Today, I see far too many “entrepreneurs” who have zero foundation in marketing, copywriting and persuasion, and they wonder why they don’t get any results.

Every time you need someone to take an action, be it open your email, click a link, watch your video, sign up for something, or (here’s our favorite part) buy something from you, you need to be MARKETING!!!!

Don’t agree with me?

Just look at the titles of Marie’s YouTube Videos:

Far too often I am blinded by the titles of other videos that say “Video 1: My Story.mp4″ or “YouTubeVideo01.mp4″

SERIOUSLY? Which videos would you click on?!

My homework for you: take a bit more time when writing that Video Title or Email Headline. (And be sure of this, if your weekly newsletter has the headline “My Newsletter” I’m probably gonna unsubscribe!)

Look, people are sooo distracted today! Everyone on these free social networking sites is fighting for their attention, and the winners are those who know how to market better! Plain and Simple.

Marie knows what her audience wants. She knows how to get their attention (marketing) and get them to take action. But she also has the follow-through (delivering value) to keep people coming back. You need both.

Your Formula for Success

Want to know the secret, magical formula for success? Here it is: S + Y + X = Success

S= Swipe, or Model

Y= YOU!  Your content

X=That Magic “X-Factor” that makes you unique

Here is how this works. Find others who are achieving the success you want. Study them. Analyze them. Learn from them. Then model them (S=Swipe) and model the things that are working for them. Change their marketing to tailor YOU an your brand, and then add the final component…the “X-Factor.” Take their concept to the next level. Make it better. Make it more remarkable.

I am a big fan of outsourcing. There are plenty of options available to you to find cheap graphics, and logos from designers all over the world. The last thing I want is for a busy business owner to spend all of their valuable time creating graphics and logos. This post designed to show you some quick-fix tips if you are in a bind and you need something simple and quick! When you can, always consider outsourcing first! Ok, let’s begin…

Sometimes are logos are really important. We need one for our business, our brand, our blog, etc. But other times we just need something quick for a product, event, new service, etc. Either way, here are a list of paid and free options guaranteed to get the job done.

1. 99Designs.com

http://www.99Designs.com is a great site that allows you (the business owner) to post a “contest” that graphic designers have to submit a design to. As a result, you get several different results and options to choose from before you choose a final winner.

2. 99Designs Pre-made Logos!

http://99designs.com/logo-design/store For just $99, you can browse through ready-made logos for any business, niche or need. Choose the one you want, and the designer will edit in your business name, tagline etc!

3. FREE .PSD Logos!

There are several ways to find FREE logo templates. Just do a Google search for “free .psd logos” and see what you find! Here is one I recommend: http://www.designscollage.com/2010/01/80-professional-psd-logos-fully-customizable/

4. DaFont.com

Over at http://www.DaFont.com, you can download and install free fonts. These are great for helping you come up with new logos. Here is another tip: on DaFont.com, go ahead and search in the “Dingbats” category. You’ll notice a lot of cool “graphical-fonts” to choose from!

5. IconArchive.com

Check out http://www.IconArchive.com for amazing, high-quality and free graphics. Just do a quick search for anything you need, and chances are you’ll find it! This site is great for logos, decorating your blog posts and even beautifying your Powerpoint Presentations!

Sometimes you need a picture of a sexy gal with a laptop smiling at your website visitors. Other times you need one of those shiny white 3D “snowman” looking characters to demonstrate some visual component on your website. Stock Photos can do a lot for your website, blog posts, sales pages, Powerpoint Presentations and other marketing material. Here are my resources…

1. Fotolia.com

http://www.Fotolia.com is my preferred and recommend Stock Photo resource. Why? I dunno…I’ve used it for years, it’s got a great selection with great prices, and I’ve always been happy!

2. Free Stock Photos!

http://www.sxc.hu/ is a resource for 100% Free Stock Photos! Anything that’s free is great, however, you do get what you pay for! Just saying…

3. Sales Page Graphics!

Over at http://www.jameswedmore.com/marketingpics you can find a great resource for sales page images, add to cart buttons, arrows, bullet points, testimonial boxes, and more! Not bad for $17!

Want to edit and “tweak” your images and logos without spending hours learning Photoshop or Illustrator?! Good, here’s how I do it…

1. Pixlr.com

http://www.Pixlr.com is a free, online photo-editing software platform. It is similiar to Photoshop, but also a bit more simple and easy to use. Just open up your image and go to town!

2. Keynote?!

Keynote?! Whaaaat?! Yes. Keynote. (Or Powerpoint if you are on a PC). Keynote is amazing if you want to throw around different images and play with different fonts. When you find something you like, simple take a screen shot of it (Mac Shortcut: Command + Shift + 4) and you’ve got an image sitting on your desktop! In fact, all of the images in this blog post were created in Keynote!

Do you have a digital product for sale online? Then you’re gonna need a sexy 3D product image graphic to help increase the perceived value of your offer. This is absolutely essential! So how do you get this done? Easy!

1. ECoverCreator

http://www.jameswedmore.com/ecovercreator This is one of the most amazing pieces of software I’ve ever seen! Nothing I know makes custom product images as easily and as professionally as this package! Check out the video below for more…

I wish I could just be the guy that says, “Hey, just do video!” slap you a high-five and we’d call it a day. Unfortunately, that’s just not the case. VIDEO is a powerful tool that everyone should be using, however that’s all it is: a tool. And let’s be honest, most people are just using this tool incorrectly.

Can VIDEO destroy your brand?

Yes.

Needless to say, I have suffered (as we all have) from that dull pain of awkwardness as you watch someone’s poorly-made video for the first time. It’s uncomfortable. And the last thing I want is for anyone watching your future videos to feel the same way. So, let’s fix that shall we?

What is Branding?

First off, let’s make an attempt to define just exactly what the word “branding” means. After several marketing classes in college, I don’t think I was still given a clear and succinct definition. The American Marketing Association defines brand as…

“A Name, term, design, symbol, or any other feature that identifies one seller’s good or service as distinct from those of other sellers.”

To me, I define your branding as: “The emotion, feeling or opinion of you & your business as experienced by anyone who comes across you or your business.” At the end of the day, there are two types of brands: a good one and a bad one. For example: let’s say you have “branded yourself” as the the laid-back, surfer type. Your brand will exude a feeling of cool, carefree confident and hip. However, each end-user must still experience your brand through their own lens of reality and make a judgement as to whether or not this brand is good or bad. Some may look at you and think, “look at this surfer dude, if he can do it, then I definitely can!” (That’s a good brand!) And still others may think, “look at this lazy guy, he is not professional and should not do business in his sandals!” (Uh, that’s not a good brand!).

This is all important, because rarely do business owners take the time to think about their personal brand or what emotions and experiences they want their subscribers, followers and customers to have. And then, when they decide to jump on the video-making bandwagon, they give their audience a whole new brand-experience that may contradict with what they previously had. Let me ask you this: have you ever been completely disappointed by the film-adaptation of your favorite book? Perhaps the characters were portrayed differently? Maybe the story was changed slightly? You were angry and disappointed weren’t you? That’s what video can do, if you refuse to avoid the following mistakes…

3 Video Branding Mistakes & How to Avoid Them

Branding is important, and it’s rarely discussed, especially when it comes to video. Simply taking this time to shine a flashlight on this area in your business will bring it to your immediate awareness and improve your branding. However, the following is a short list of mistakes (and their solutions!) that can be avoided if you want to be a rockstar with your video branding! Here we go…

Mistake #1: “I Don’t Know My Audience!”

It’s a no-brainer, but the better you know who your audience is, the better you can improve your communication with them. Bill Cosby famously said, “I don’t know what the key to success is, but the key to failure is trying to please everybody.” When you know exactly who you are talking to you and you speak directly to them, it does not matter if others don’t resonate with your message and your brand. Referring back to the laid-back surfer-guy branding, when you know your audience, and you know that your audience actually resonates with this type of character, you can actually ignore and block out all those other “stiffs” who don’t like your brand. So, what can you do to learn more about your audience?

Survey Your List

Get feedback from past customers

Research your competitors

Create a Customer Avatar

Read forums, blog comments, Facebook Groups, Yahoo Answers, etc

Remember, you have 100% control over your message and how you communicate it. And, you can influence the feeling and emotion that others may experience when they hear your message, but at the end of the day, you can never control how you make someone else think or feel.

Mistake #2: “Hey, She’s Not an Expert!”

80% of your communication is non-verbal. Yikes! At the end of the day, what you say is far less significant that the manner in which you say it. And here’s the scary part, as your audience watches you on video, their subconscious mind scans your every movement like a hawk looking for it’s prey. A simple quiver, awkward pause or timid look will give them more to play with than a group of high school kids who just found out your last name rhymes with a part of the male anatomy. Double yikes!

Ok, so am I being a little dramatic here? NOT REALLY! Look, at the end of the day, when a new prospect who has no idea who you are, watches one of your videos for the first time, they are in survival-mode. With their guards fully up, they need to quickly assess if you are the expert that you say you are. Can you be trusted? Do you know what you are talking about? A lack of confidence in your non-verbal communication could mean a Permanent NO!

“But James, it’s my first time on video, and I’m camera shy!” I don’t care, and neither does this prospect. Take the time to polish up those unwanted body ques, the stuttering “um’s & ah’s” and raise the bar for your quality of work. If you have to film yourself 100 times before you produce something you are actually proud of, DO IT! The shiny newness of doing online video has worn off just like your new car smell, and the average Internet User expects more today. Are you proud of the videos you are creating? Does every one of your messages convey the passion and conviction for your message? Are you absolutely magnetic on camera?

And for those who answered “no” and think you couldn’t possible raise your video standards: I was the most-timid & shy introvert back in high school. I didn’t change that overnight, but I am my harshest critic, and I always analyze my videos to see how I can improve. Isn’t it time you did the same?

Mistake #3. “He’s as Professional as a 12 year old with an iPhone!”

No matter what your business or your brand, one characteristic that 99% of business owners want to convey is that of professionalism. Oh hey, look at you with that fancy logo, expensive website and copy that convinces! I’m impressed! But what the heck are you doing making shaky videos with low light, horrific shadows and airplane noise overhead?! The wind is blowing straight into the mic, the video is long and dry, I can barely hear you, and your face is dark and pixelated.

It’s impossible to convey a brand of professionalism when your videos are below amateur level. Take the time to find, hire or outsource this problem, or learn some video-making basics yourself. In a nutshell, here are a few quick tips for drastically improving the quality of your videos.

a. Get a mic!
Any option for microphone beats the standard on-board microphone that comes standard with every camera. A wired (or wireless) lapel mic will do wonders to improving the quality of your audio AND the quality of your video overall.

b. Improve the Lighting!
When you film indoors, it’s much easier to control the lighting. and you can purchase a professional lighting kit for under $250 to make you look absolutely amazing.

c. Frame it up!
How you frame your video is extremely important as well. Make sure people can clearly see your face at eye level and that there are no distracting elements in the background that distract from the focal point (your face!) Take the time to prep “your set” properly.

www.youtube.com/LizDialto

These three factors alone can make a big difference. But at the end of the day, draw a line in the sand and refuse to be satisfied with “good enough.” Be remarkable. Raise your standards for quality. Stand out from your competition. Don’t blend in.

Video Salesletters

How great would it be if you had a “Johnny-on-the-spot” salesperson working for you every minute of every day? This person would jump right into action the moment anybody showed even the slightest interest in your product or service. In fact, they would never get sick, never have an “off” day, and always remember exactly what to say to grab a prospects attention and skillfully navigate them through the entire sales process.

Well, don’t spend too much time “imagining” how great those increased sales numbers would be when you can have this exact sales powerhouse, right now, using Video Sales Letters.

In fact, I bet many of your successful competitors are already tapping into conversions that are 5% and more, simply because they converted their sales efforts to video. And, you can too!

• You don’t need any special copywriting skills
• You don’t have to do any awkward Cameos
• And you don’t need a fancy degree in videography

What you do need is something to sell and a little roadmap (which you can download above) that will help you successfully tap into all of the learning modalities of your potential customers. And, that’s exactly what we’re going to talk about right now!

Step 1: Writing the script

Grab their attention and quickly draw them into your world. They are not going to spend a lot of time trying to decide if they should watch your presentation. Quickly answer their question of “Why should I watch this video?”

Step 2: Creating your PowerPoint or Keynote Presentation
You can simply copy and paste your script into the slides of PowerPoint or Keynote – it can be that simple! Reading along and listening to your voice gives a hypnotic effect to your sales message. You can throw in graphics too, if you want.

Step 3: Recording the Audio and Video
Plug in your mic and record your voice as you read through the script. Remember to put some passion and enthusiasm in your voice. Stand up when you record, get excited, and your customers will get excited too!

Step 4: Uploading the video and publishing it with the optimal settings
Upload your completed video to your host account (and there are several to choose from). Choose the settings that will give you the most control over the viewer experience – even if they are watching it while you are fast asleep!

Step 5: Optimizing the Sales Page with proven headlines, copy and techniques
Spend some time on the headlines –this is often what is going to capture their attention first. See what’s working for others and give it a try. Then, be sure to test and track your salespage to see what’s working and what’s not. Don’t worry, any changes to your copy can be done at a click of mouse…literally!

Going Deeper with Video Salesletters

This is just scratching the surface of what you can do to create high converting video salesletters. Be sure to download your copy of the Sales Letter Infographic and then hop on over to a free presentation that gives you even more tips and training to create your next Video Salesletter.

Welcome to the fifth and FINAL installment of our 5-Part Outsourcing Video Series!! In this video, I discuss the secret little tricks and tips I use to effectively manage and communicate with all of my virtual assistants. Are you ready?! Watch and enjoy…

VIDEO: The Secrets to Managing Your V.A.’s

Let’s go ahead break down exactly what I talked about inside the video!

1. Use Email or Project Management Software

There are several excellent Project Management applications that exist such as TeamBox.com, however I personally use and recommend sending all assignments via Gmail (email). I do this to keep things simple and organized. It works for me, so I am going to continue using it this way. However, I also require my VA’s to document every task and assignment and keep it in a Google Doc (spreadsheet) so we know exactly what assignments are being worked on and what needs to be accomplished

2. Transfer Files

Dropbox.com is an incredible piece of software that allows you to transfer and sync files with your team with the click of a button. Dropbox is free to sign up and you need to require that your VA’s also download and use this software

3. Creating Assignments

The best way to communicate the tasks that you need to get off to your VA’s is to use a wonderful little free tool called Jing. Jing is screen capture software that allows you to make pictures and videos of your screen and share it instantly. This tool alone is responsible for eliminating 90% of all communication headaches!

4. Paying Your Team

In today’s lesson, we are going to walk through the simple steps to hiring your first Virtual Assistant. This is one of the most important processes to follow, because it is HERE that most people mess up and end up landing in a whole world of hurt! Watch the video below to see what I mean…

VIDEO: How to Hire Your V.A.’s

Click Here to Watch on Youtube

For your convenience, I have also detailed the steps from the above video in this post so you can quickly skim the contents while watching! Here we go…

Step #1: Identify What to Outsource

In this first step, you want to take a moment to identify exactly what it is you want to “let go” of. The type of task or assignment will determine what type of outsourcer you need and where to find him or her. We discuss this more in Part 1.

Step #2: Locate Your Potential Employee

The second step is also something we will breeze over in this post, simply because we already addressed this in Part 1. However, I will say this: I highly recommend starting out with OnlineJobs.phto find your first Virtual Assistant! This is a great place to find a full-time employee to be your right hand man (or woman!).

Step #3: Create Your Job Post

Once you know WHAT you are going to outsource, and WHERE you are going to find your employee, it’s time to create your job post. There really isn’t much of a science here. Be clear with what you want (and what you don’t want) in the post. If you have special requirements, or you have examples of work you would like your team to emulate, the description is the place to add them. Here are a few things I add to my descriptions when looking for a virtual assistant to help with some general tasks:

Must be passionate and eager to learn

Must have access to computer and Internet

Must be able to provide results from a past project you have worked on

Must be proficient with using the Internet, Word Processing Programs and Basic Social Media

Must be able to speak, write and communicate in near-perfect English

…the list can go on, but those are just some of the things I include in my descriptions.

Step #4: Interview Your Candidates

As soon as you create a job post, you will most likely receive a flood of new emails from potential candidates. In step #4 of the process, you need to filter out the responses that meet your requirements and respond with a request to set up a “Skype Interview.” This is THE most important part of the entire process. You want to take your time to get to know the potential VA, ask him questions and look for English Skills, Comprehension Skills, and most importantly: passion with a sense of eager willingness to learn! Here are a few sample questions you should be asking potential assistants:

Do you have access to a computer (what kind?) and Internet at all times?

What past work/skills can you bring to the table?

Do you have any past work that you can show me?

Do you know how to use (insert program/software here)

What tasks are most enjoyable for you?

What items do you not enjoy doing?

Make sure to interview AT LEAST three virtual assistants before you hire one. Take your time here, do not rush it.

Step #5: Hire on a Probationary Period

Once you’ve selected your most-promising candidate, the smartest move you can make is to hire your assistant on a probationary period. Take the next seven days to observe your VA and watch him as he completes his assigned tasks. Look for their ability to follow instructions, ask questions, follow due dates and requirements and go above and beyond! After the seven days has ended, you now have an easy “exit strategy” if you were not 100% happy with your new VA.

Step #6: Give Your Orientation

As soon as you bring your assistant on board, it’s important to give him or her your “Orientation Day.” Your VA needs to follow YOUR rules for how YOU do business, so he/she needs to know from Day #1 how YOU operate! Here are a few things I give my new employees on “Orientation Day!”

Use Gmail

Send Daily Email Reports & Log Hours

Send Weekly Reports w/Payday Reminder

Send me your Payment Details

Download tools: Jing, Dropbox, etc

Go through our Virtual Assistant Training Videos

Ask questions! (It’s important to encourage your team to ask you questions!)

That’s it! Don’t over-complicate the process. If you follow the steps listed above, you can have someone hired and on standby in less than 24 hours! So, what are you waiting for, get to work!

In Video #3 of our series, I talk about the five steps to outsourcing all of your video & youtube marketing efforts! This is so important because Youtube can be extremely effective for your online traffic-generation and brand-building strategy. HOWEVER, it can be very time-consuming! Here’s how to let go of your video marketing in five easy steps! Enjoy!

Outsource Your Videos in 5 Easy Steps:

Server 1

YouTube

Click Here to Watch on Youtube

For your convenience, I’ve also detailed out the main bullet points from the video below, so you can digest the content even quicker!

Step #1: Create Your Shot List

The first and most important step with any video marketing campaign begins with the planning and prep phase. The more you can identify exactly what content you want to shot and how you want it to look, the better off the end result will be. However, we also want to plan from a strategic marketing (not just creative marketing) standpoint as well. This means, identify the “money keywords” and hot topic questions your audience is searching for and asking and create content accordingly. If you create a “shot list” of the videos you want to film, you will be much more prepared for Step #2, which is…

Step #2: Film Your Content

Since I am all about efficiency, I like to create a MINIMUM of 5-10 videos in a single sitting. When you have a completed shot list, your next task is to block out some time to film all of your videos at once. You quickly notice that this is the best way to get your videos done in less time. When the lighting is right, and you are in the mood (makeup and costume!), you can breeze through a whole series of videos like THAT! (uh, this is where I would snap my fingers!) Then you are ready for step #3.

Step #3: Transfer Your Files

When you have finished filming all of your content, you want to take the leap to outsource the rest! In step #3, we need to figure out a system for getting the files off of your camera and into the hands of your editor as quickly as possible!

If you are using an overseas editor, your best option is Dropbox.com. Dropbox allows you to quickly and easily sync folders and files on multiple hard drives. Whatever works best for you is fine though. Just develop a step-by-step solution for getting your videos to your editor without it taking too much time or energy.

Step #4: Tell Them What You Want

This step is all about becoming the director in your business. Instead of doing all the work, you get to give instructions to your editor for what you want. Now, the best way to do this is to send your editor past examples of similar work that you would like to emulate. I also use JING to The more you can tell your editor exactly what you are looking for here, the better. This includes, suggestions for music, sound effects, editing styles, credits, title sequences, etc. Now, the editor will only be able to work with what you gave him, but if you are clear on what you want the finished product to look like, a LOT of magic CAN happen in the editing room!

Step #5: Systematize Everything!

Now, between step #4 and Step #5, you will be getting back a rough and final cut of your videos. Obviously the first time you use a new video editor, there will be more changes and feedback required.

However, for those who are wise enough to see that in the long run, the kinks and bugs will be worked out to the point where you can fully let go of the process and not worry about a single moment of your time, this upfront “stress” will be totally worth it! Take this fifth step to analyze all of the steps, write out a process map (detailed instructions) for your editor and have him or her perform each of these steps every time you need a new video!

Your Roadmap to Outsourcing

Stay tuned for more videos, blog posts and training to answer ALL of your questions on the wonderful topic of OUTSOURCING!! Please share your comments, questions & feedback below, thanks!

I’ve also broken down the video below so you can follow along while you are watching! (“Oh hey, how nice of you James!”)

Step #1: Identify WHAT to Outsource

Before you dive in, you need to identify exactly what you want to outsource in the first place. This is a crucial first step, so I detailed it completely in video #1, over here: http://www.jameswedmore.com/what-to-outsource

Step #2: Locate Your Potential Employee

Depending on WHAT you decide to outsource, you will have several options for finding the best employees. Here is a quick breakdown for ya: For the best graphic work, I recommend www.99Designs.com. For simple, fun tasks, check out www.fiverr.com. For the one-and-done task (transcripts, copywriting, programming, etc) head over to odesk.com. And finally to get your hands on a full time Virtual Assistant, check out www.Onlinejobs.ph for the BEST Filipino VA’s!!

Step #3: Create Your Job Post

Once you know WHAT to outsource and WHERE to go, you simply create a job post that details out exactly what you are looking for. This really isn’t that difficult, just be as CLEAR as possible with what you want so you can weed out the bad candidates early. Screenshots, videos and other resources always help!

Step #4: Interview Candidates

This is by far the MOST important step of the entire process. If you don’t focus your energy on the hiring and screening process, you will continue to end up with crappy employees. Sorry. Focus on asking the right questions and look for VA’s who have great energy, ton’s of enthusiasm, and an eagerness to learn to things! Remember, there is no shortage of GREAT VA’s in the Philippines! Take your time here!

Step #5: Hire the Best Man for the Job

Now for the fun part! After you have interviewed a MINIMUM of three potential candidates, pick your best winner! Now, the first step is to put your newly hired VA on a “probationary week.” Spend the next seven days giving your VA a few minor tasks and watch them like a hawk! If they do not perform to your standard, repeat Step #4!

Step #6: Systematize Your Tasks

Once you have chosen the right man (or woman!) for the job, it’s time to look at your business a whole new way. You need to efficiently build systems for communicating with your team so they know EXACTLY what you want and deliver it as quickly as possible. You can use what works for you, but I use tools such as Jing, Dropbox and Google Docs to manage and document everything. (Yes, we will discuss this in later videos, so stay tuned!)

What to Outsource:

Before we can start letting go and delegating assignments and tasks in our businesses, we need to be able to identify to categories of action items that exist:

1. The Things that Drain You

What are you currently doing in your business that stresses you out and drains your energy? Whether it’s a big important task or a little assignment that takes less than five minutes, you need to add it to a list so we can start to look at how you can let go of this. Although I am extremely passionate about what I do in my business, there were always things I HAD to do that just robbed me of that passion. Things like html design, programming, graphic creation, etc. How can you set up systems to outsource these items (more on that in future videos!)

2. The Things You are Neglecting

Do you have an excessive amount of items on your To-Do list that are just not getting done? How about that new training program that’s collecting dust on your computer? NOW is the time to make a list of the things that you know you need to be doing that you have been putting off. Anything to help your SEO and traffic-getting strategies, split-testing, social media management, digesting new training programs, research, etc NEEDS to be outsourced!

In future videos we will be diving deeper into the Outsourcing Process so you know exactly what to do to get started! Stay tuned for future videos, blog posts and content here!
